Setting Up a Conference Call

When you've decided to use a conference call service and have done the research to find the one that works best for your budget, the next step will be to set up the conference call. This will take some planning as to when will be a good time to meet for all participants. Another consideration will be how long the conference is going to take. You'll have to be able to block out that amount of time in your schedule and be sure that your participants can do the same. Once that has been accomplished, you can contact the company and start the process of actually setting up the call.

If you've decided to go with a standard conference call service, you'll have to set up your conference call at least twenty four hours in advance. Though most companies will have some sort of service for emergency calls, there may be extra fees for this service. It will be best to make sure that your calls are planned to avoid any extra fees. If you've chosen to go with a flat rate service provider, you won't have to worry about planning ahead on their end because most of them offer last minute services with no extra fee. However, planning ahead is still preferable for those involved in the conference.

When the date and time have been decided upon, the next step is to receive the dial in number and the code that all participants will have to access the conference. This will be done with the help of your service provider. No matter which type of service you choose, they will all have a toll free number for dialing into the call and a pass code for the members of the conference to use to gain access to the conference. At this time you will pay any preliminary fees such as membership or monthly fees. Your fee for the conference cannot be decided upon until the conference takes place unless those numbers have been decided in advance. If you set an infinite time for the conference and number of participants, your fees can all be paid up front, but you'll run the risk of extra fees for going over the allotted time or the hassle of having part of your fee returned if the conference doesn't last the entire time or one of your participants doesn't show. It's easiest to pay all fees for the call after the conference has been held.

With all of this accomplished at the appropriate day and time, all you'll have left to do is call into the conference and wait for your participants to do the same. If you should run into any trouble with the call itself or have any questions, a service provider will be available while you're on your call to help you. When your conference is over, your service provider will still be there to help with any questions or problems you may have. At this point, if you haven't already paid your fees, you will be billed for the conference call.

Setting up a conference call can be an easy task. It can be done all online through the use of online chat support to communicate with the service provider. For those that prefer to talk with a person on the phone, your call can be set up that way also. This is a painless process that will result in your business taking place without you ever having to leave the office.
